Check Nextcloud storage in the web interface, then manage quota by removing unneeded files, reviewing versions and trash, and setting sensible retention choices for shared folders.
Read the storage view
Open your files area and inspect the storage indicator or personal settings shown by your Nextcloud instance. It reports usage against the quota assigned to your account or group. Large folders, videos, device uploads, and shared content can account for more space than expected. Check the owner of a shared file before deleting it, because removing somebody else's item may affect their work.
Find avoidable usage
Sort files by size and review old exports, duplicate uploads, and offline copies that you no longer need. Mobile camera uploads can grow continuously, so archive or remove items only after confirming another copy exists. Empty the trash when you are certain recovery is no longer required; items in the trash still consume storage until the instance's retention process removes them.
Understand versions
Nextcloud can keep earlier versions of a file so you can restore an accidental change. Versions are useful, but many retained revisions of large files can use substantial space. In your web interface, review the version list for a file and remove obsolete revisions when the available control permits it. Do not delete versions while a collaborator is still comparing or restoring them.
Plan trash and retention
Trash and version retention are governed by instance settings and available policies. A user may see automatic cleanup rather than a manual switch. Treat retention as a recovery window, not as a permanent archive. For records that must be kept, store an intentional copy in an appropriate folder and document its owner and sharing permissions.
Manage shared storage
Ask collaborators to clean their own large files and to close obsolete public links. A folder share can make storage growth look like a personal problem even when several people contribute. Use clear folder ownership, review activity, and agree on a simple archive convention. If the quota is genuinely too small, review the available YourCloud plans rather than relying on repeated emergency deletions.
Verify after cleanup
- Confirm that important files open in the web interface.
- Check desktop and mobile clients for pending uploads before removing a local copy.
- Recheck the storage indicator after trash and version cleanup completes.
